Sale Catalogue Data & Configuration

Sale-catalog data is populated automatically in ThoroughRepository from ThoroughWorks. Sales admins configure each sale to meet repository requirements: rules, validation windows, and visibility settings for every data type.

General Settings

  • Sale time zone drives all windows and analytics. The time zone is pre-configured per sale and is the single clock used for submission windows, viewing windows, and all repository analytics.
  • Submission & viewing windows defined clearly. The submission window controls when vets can upload studies. The viewing window controls when vets can see approved data in the repository.
  • Enforce client declaration before viewing. Require vets to declare a client name before opening X-ray images, scope/ultrasound videos, and PDF vet reports. Depending on the sale rules, that client name is attached to analytics for X-rays, scopes, reports, or all combined — fully configurable per sale.
  • Terms & Conditions via a single URL. Paste the auction house T&Cs URL so vets must review and agree on first access — or on every visit, depending on your sale settings.

Dates & Deadlines

  • Auto-populated from the ThoroughWorks API. Books, sessions, sale dates, and lot ranges are pulled in automatically for each sale, saving admin time every time you set up a repository.
  • Guide vets on when media can be taken and uploaded. The table shows how close to the sale date X-rays and scopes may be taken, and the deadline by which they must be uploaded, so clinics can schedule their workflow accurately.
  • Imaging currency rules aligned with Conditions of Sale. Enforce that media cannot be shot more than a configurable number of days before each horse's sale date, in line with your terms and conditions.
  • Clear "taken" vs "visible" dates. One set of columns defines when media can be taken; another defines when approved media is expected to be — or will be — visible inside ThoroughRepository.

Example imaging rule: media must be taken within ≤ 30 days of each horse's sale date and uploaded before the configured deadline for that session.

Protocols

  • Configure reusable imaging protocols in your account. Define view counts and timing rules for X-ray and endoscopic studies once, then reuse them across all future sales.
  • Assign protocols per horse type and sale. For mixed sales, apply different protocols to foals, yearlings, and tried horses. For a pure yearling sale, you only need the yearling protocol.
  • Edit, replace, and reuse protocols over time. Protocol sets can be created, edited, or deleted at any time and attached to any sale, so your repository always reflects your current conditions of sale.

Sale Documents

  • Start from a rich list of document types. Vets can submit scope reports, X-ray reports, surgery reports, vet reports, health certificates, medication reports, and more against each lot.
  • Decide what other vets can see. Admins choose which sale documents are visible to other vets in the repository and which are kept internal for your own records within ThoroughRepository.
  • Enforce key documents before X-ray access. Optionally require vets to view and acknowledge selected documents before they can open X-ray images. Additional document types can be added on request.
